Privacy Policy
Last updated: 23 October 2026.
Who is responsible for your information?
The Spectrum Space CIC, company number 16783294, registered in England and Wales. Registered office and correspondence address: 66 Lythwood Road, Bayston Hill, Shrewsbury, SY3 0NL, United Kingdom. VAT registration number: 505591788. We are the controller of personal information collected through this website. Contact info@thespectrumspacecic.co.uk for privacy questions or requests.
Information we collect
When you order or create a shop account, we collect the details needed to provide that service: your name, email, billing and delivery addresses, telephone number if provided, account information, purchases, payment status and correspondence. Our website and service providers also process technical information such as IP addresses, browser details and security logs.
If you send an enquiry, subscribe to updates, book an event or submit an RSVP, we collect the information you provide for that purpose. Please avoid sending sensitive personal information unless it is needed to help with your request.
Why we use it
We use order and delivery information to fulfil our contract with you, take payment, send service emails, arrange delivery and handle cancellations, returns and support. Account information lets you sign in and access your orders.
We retain financial and tax records to meet legal obligations. We use relevant technical and correspondence data for our legitimate interests in keeping the website secure, preventing fraud, resolving disputes and responding to enquiries, taking your rights into account. Stripe may perform fraud checks as part of payment processing.
If you ask to receive news or marketing, we use your consent for those messages. You can withdraw it using the unsubscribe option in the message or by emailing us. Buying from us does not itself subscribe you to marketing.
Payments and service providers
The shop runs on WordPress and WooCommerce and is hosted with Hostinger. Payments are processed by Stripe and any payment service you choose at checkout. Your payment details are handled by those providers; we do not store full card numbers or security codes in our shop database. We receive information needed to identify the payment and its status. See Stripe’s privacy policy.
We share necessary information with payment providers, hosting and technical support providers, email services, delivery companies and any postage-booking service used for your order. For example, a courier needs your name and delivery address and may receive contact details for delivery updates. Authorised staff can access information needed for their work. We may also disclose records where required by law or necessary to establish or defend a legal claim.
Some suppliers operate internationally. Where personal information is transferred outside the UK, appropriate safeguards are required, such as UK adequacy arrangements or approved contractual protections. Contact us for information about safeguards relevant to your data; Stripe also explains its international transfers in its privacy policy.
Cookies and external content
WordPress, WooCommerce and payment services use cookies or similar technology for sign-in, security, shopping baskets and checkout. For example, WooCommerce uses a basket session and cookies to remember basket contents. Signing in may set cookies that persist when you choose to stay signed in. Blocking necessary cookies can prevent these features from working.
Pages may contain links or embedded content from other providers. Opening an external service or loading its embedded content can allow that provider to process your IP address and other information under its own privacy terms. Optional analytics or advertising cookies require consent where applicable; this policy is not consent to their use.
How long we keep information
We keep order, payment and related financial records for at least six years from the end of the relevant accounting period where required for tax and accounting purposes. Records may be held longer where a legal obligation or an unresolved claim requires it. We keep account information while the account remains open, and review other enquiries, technical logs and marketing information according to their purpose, security needs and any legal requirements. Closing an account does not automatically remove records we must retain.
Your choices and rights
Depending on the circumstances, you can ask to access, correct, erase or restrict use of your information, and request a portable copy. You can object to processing based on legitimate interests and to direct marketing. You can withdraw consent at any time without affecting earlier lawful processing. Some requests are limited by our legal obligations, such as retaining financial records.
Email info@thespectrumspacecic.co.uk to exercise your rights. We may need to check your identity and will normally respond within one month. You can also complain to the Information Commissioner’s Office.
Providing information and changes to this policy
We need certain information to take payment, fulfil an order or create an account; without it we may be unable to provide that service. An account is optional for shop purchases where guest checkout is offered. We will update this policy when our services or data use change. This notice covers the live website and shop; additional account and community features will have appropriate privacy information when introduced.
